1. Start with your guest list
Estimate how many adults and children will attend. For a seated meal, plan one suitable seat per guest and discuss a few extra seats for last-minute changes.
2. Match tables to your guests
Confirm the seating capacity of the exact table you rent. Divide your seated guest count by that capacity and round up. For example, 40 guests at 8 guests per table need 5 dining tables. Food, gifts and cake may need separate tables.
3. Check your space
Measure the usable area and leave clear paths for guests, serving and exits. Share photos and ask the team to confirm the layout and any tent requirements before ordering.
4. Plan delivery and pickup
Have your event date, address, start and end times ready. Explain stairs, gates, parking and venue access hours. Agree on delivery, setup responsibilities and pickup with the team.
5. Finish with the details
Choose linens and décor after confirming table sizes. Review quantities, availability and the full quote, including applicable delivery or setup charges, before confirming.
